Your names, routines, photos and recordings stay in your private account. AI features send only the text or short dictation you choose for drafting; this content is not sent to Amplitude.

Who we are, and who controls the data

VizuStep is a tool for one person to plan routines for another: a parent for a child, a relative or support worker for an adult, or someone for themselves. The account belongs to the person who sets it up — the caregiver — and it is that account that controls everything in it. A participant device, the phone or tablet a routine is displayed on, has no account of its own and no way to browse or change anything: it sees one person's routines and nothing else.

If you use VizuStep to plan for somebody else, you decide what goes into it and you can take any of it out again. We hold that data on your behalf. If you are using it in a professional setting, you are responsible for having the right to record what you record about the people you support.

What is stored in your account

A caregiver may optionally save a helper phone number, as a default or for an individual person. It is stored in the private circle and synced to the participant's device solely to offer an ordinary telephone call after a tap. Calls may require system confirmation and use the carrier's service; they are not an emergency service. You can change or remove the number in Settings or the person's preferences. We do not access contacts or call history, or ask for an address, date of birth, diagnosis or health record.

Photographs a person sends, and how long they are kept

A card can ask for a photograph of a finished step — shoes on, bag packed, the table cleared. The camera opens inside the routine; there is no way to pick an old picture from the gallery, and nothing analyses the photograph. No model looks at it, no face is recognised, and nobody decides automatically whether what is in the picture is good enough. A person looks at it, or nobody does.

You choose how long these photographs are kept, in Settings, and the choice applies to everyone in your account: a week, a month, three months, a year, or until you delete them. A month is the starting value. The period is part of where the photograph is stored, so the file itself expires when its time is up — it is not a promise kept by a note in a database. A daily sweep on our side removes anything the storage rules have not reached.

Whatever the period says, you can delete any photograph yourself, at any moment, from the person's Sent photos list. That deletes the file first and then the record of it. The line in the activity log stays — it still says that something was sent at 07:14, which is true and which nobody may edit — but the picture is gone.

What leaves the device

Everything above is stored in your account so that your own phone and a connected device can both see it. Beyond that, the only thing that goes anywhere else is what the AI features send, and only when you use one of them.

When you ask VizuStep to write a routine, to write one from something you dictated, or to change steps for you, it sends to OpenAI:

That is the whole of it. Photographs, the voice recordings kept in your account, the names you gave people and the record of what anyone has done are never sent. The app never sends the name you chose for someone; if you type a name into the sentence you write yourself, that sentence goes as you wrote it, so leave a name out if you would rather it did not.

OpenAI processes this text to write the draft and hands it straight back. OpenAI states that content sent through its programming interface is not used to train its models, and we have not agreed to anything that would allow your content to be used that way. A draft is never shown to anybody in a routine until you have read it and saved it.

Signing in, and connecting a second device

VizuStep does not ask you to create an account to start. Your first launch signs in anonymously: there is no email address, no password and no name behind it, and the account exists only on that phone.

You can later save your account with Apple or Google so that a lost or reset phone can get back to your routines. If you do, the sign-in service (Firebase Authentication, part of Google) holds the email address and, where the provider gives one, the name for that account. Sign in with Apple lets you hide your real address, and that works normally here. We use that identity for one thing only: recognising you when you sign back in.

To connect a second device you show it a code that is valid for fifteen minutes and can only be used once. The device then signs in anonymously and is bound to exactly one person. You confirm it before it shows anything, and you can disconnect it whenever you like — the next thing that device asks for is refused.

Subscriptions and payment

Everything you set up by hand is free. Only the AI features are metered, after a free allowance, through VizuStep Plus. See the Terms of Use for how the subscriptions work.

We never see your payment details. Payment happens inside the App Store or Google Play and no card number, billing address or bank detail reaches us. When you subscribe, our server keeps the store's own receipt for your subscription — Apple's original transaction identifier or Google's purchase token — so it can ask the store whether the subscription is still active. That receipt is stored as the key of the record, in hashed form, and kept as proof to re-check with. It is never shown to any app, screen or person.

We also keep a count, per account, of how many AI calls have been made and how many words of input and output they involved, so the free allowance and the plan's pool can be enforced. That counter holds numbers only: nothing you typed, nothing you dictated, no routine and nobody's name.

Privacy and usage statistics

VizuStep sends anonymous action counts to Amplitude for internal product statistics: opening the app, onboarding choices, connecting a device, saving a routine, completing/skipping/undoing a step and asking for help. Events contain an action name, timestamp, platform, app version and a test-build marker. The official Amplitude SDK stores a random installation identifier and session identifiers to measure repeat usage and funnels; it is not linked to your private Firebase account. Device model, OS and language may also be reported. Names, task text, phone numbers, account IDs, photos, audio, GPS coordinates and advertising identifiers are excluded. The SDK uses the connection IP to derive approximate country/city for product statistics; it never requests GPS access. There are no advertisements, session recordings or cross-product profiles. You can disable mobile statistics in Settings. Website page and link counts are sent only after you allow statistics; change your choice in the footer. After permission, the website stores the SDK’s anonymous visitor identifier locally as well as your choice. Amplitude processes these statistics in its US region. Previous versions without this feature sent no usage statistics.

Where the data is, and who processes it

VizuStep runs on Google Firebase. Google stores the database, the files and the sign-in records on our behalf and processes them under its own agreement with us; the parts of our service that run code run in Google's europe-west1 region. OpenAI processes the text described under What leaves the device, and only that. Apple and Google process payments when you subscribe.

These providers operate in several countries, so data may be processed outside the country you live in. Where that involves a transfer out of the European Economic Area, it takes place under the transfer terms those providers publish for their services.

Deleting

Deletion in VizuStep is real, not a flag that hides something.

Children, and people who cannot answer for themselves

The account holder is an adult. A child or a supported adult never signs up, never enters anything, and holds no account: the device in front of them shows one person's routines and offers Done, Skip and Help. What is recorded about them is what the adult who set it up chose to record.

If you are planning for someone who can take part in the decision, please involve them — especially in whether a card asks for a photograph. If you believe a child's information has been put into VizuStep by someone with no right to do it, write to us and we will remove it.

Your rights

Depending on where you live, you have the right to see the personal data held about you, to correct it, to have it deleted, to get a copy of it, and to object to how it is used. Most of this is in your hands already: everything VizuStep holds is visible in the app and can be changed or deleted there. For anything else — a copy of your data, or a deletion you cannot perform yourself — write to sup@agemoware.com and we will answer within 30 days. If you are not satisfied, you may complain to the data protection authority where you live.

Changes to this policy

If what the app does changes, this page changes with it and the date at the top is updated. When a change matters — when something new leaves the device, or something is kept for longer — we will say so in the app rather than only here.
